Minutes of a meeting of the Executive of the Auckland Debating Association Incorporated

Held at 714 Richardson Road, Hillsborough at 6.45pm on Tuesday 16 April 1996

Minutes of the Last Meeting

The minutes of the Executive Meeting held on 15 August 1995 were taken as read and adopted as a true and correct record.

Matters Arising

  1. Payment of $200 for Auckland University Debating Society (AUDS) to send representatives to an adjudication seminar in Sydney, Australia, did not have the outstanding affiliation fees of $40 for 1994 and 1995 deducted. It was resolved not to pursue payment of these fees.
  2. A second letter to Auckland prisons also went unreplied. In October 1995 we received a letter from Mt Eden Prison which had been addressed to AUDS. The letter was sent in May, which was too late for competitions in 1995 in any event. Communication with prisons this year has resulted in Mt Eden indicating they will consider entering a team in 1997, and Paremoremo Medium Security is interested in both Athenaeum and Robinson competitions in 1996. They have not yet submitted an entry form. Wayne McDougall to follow this up.
  3. New Zealand Schools Debating Council (NZSDC) main sponsor Shell is concerned about the lack of Auckland teams in the national competition. Wayne McDougall has written to the NZSDC, offering to bring Auckland competition rules in line with those of the national competitions, for example the use of points of order. There was no positive response to this offer, but the way has been left open for the future.
  4. Claire Ryan has declined the offer to join the Executive.
  5. No constitutional review has taken place.
  6. There has been no communication from the New Zealand Debating Council (NZDC).
  7. There has been no evaluation of which banking service the ADA should use.
  8. Outside debating organisations have been approached and invited to participate within the ADA.
  9. We should look to host the national competitions in 1997.
  10. No newsletter has been issued.
  11. Moots have been provided for the 1996 competitions.
  12. No letter of thanks went to schools last year.
  13. Certificates and badges were awarded for the school competitions.

Correspondence Inwards

  1. ITC Council 5 asking for workshop on adjudication on 31 August 1996, and seeking to work closer for the ADA. Interest to be audience for ADA competitions such as Athenaeum.
  2. Takapuna Rotary Club asking for adjudication training.
  3. ITC Council 10 confirming Wayne McDougall to speak on debating at council meeting on 29 June 1996.
  4. Wellington Speaking Union are happy with the status quo in regard to organisation and representation on NZSDC.
  5. Auckland Girls' Grammar School thanks for adjudication at inter-school competition.
  6. Virginia Goldblatt, President NZDC thanking us for letter about NZSDC and sharing in some of the concerns.
  7. Registrar, Auckland University, approving 50% discount on room booking for 1995 Annual General Meeting.
  8. National Speakers Association of New Zealand, notice of special meeting for professional speakers.
  9. Rangitito Tecorians requested seminar on debating, given by Shayne Mathieson.
  10. NZ Chartered Clubs Inc, providing list of chartered clubs in Auckland, which have been contacted to see if there is any interest in debating, public speaking or adjudication.

  • Andrew Stockley, NZSDC, changes to the NZSDC constitution.

  • Prisons, seeking interest in debating
  • Schools, 9 page survey. Good response, with 14 new schools competing this year. Two have withdrawn-Senior College of New Zealand and Sacred Heart College.
  • NZDC, requesting activity reports and information on other members of the NZDC (no reply received).
  • AUDS, advising that ADA will take back responsibility for the Robinson competition.
  • Team Dunwoodie, Robinson, asking to resolve confuse over affiliation status.
  • Mrs Doreen Moffat, information on adjudication seminars
  • Chartered Clubs and Debating Organisations (Rotary, Tecorians, ITC, Toastmasters, etc.), inviting involvement with the ADA (approximately 550 organisations have been contacted, which has yielded seven new adjudicators, giving a total ADA adjudicator pool of 19)
  • Internet, message inviting involvement with the ADA
  • Waikato University Debating Society, inviting involvement with the ADA
  • Infobank and ACC Community Directory, registration of ADA information.

    Financial Statements

    Submitted to the meeting. Incomplete due to lack of bank statements which had been returned to the bank by AUDS (which is where they were addressed). About $9,000 funds are available.

    The suggestion of having a phone number dedicated to the ADA was put to the meeting, but rejected as not being value for money.

    Annual General Meeting

    To be held on Tuesday 30 April 1996. Wayne McDougall to approach St Cuthbert's College to be a venue. Postal notice to go to all affiliated and associate members. Affiliated members can send up to two representatives. A quorum of 18 is required. If it looks like we would not get a quorum, we will notify everyone of the new date, which will definitely take place on 7 May 1996-Approved.

    School Competitions

    Five schools are hosting the school competitions: Agreed to buy a book for their school libraries in appreciation of their time and effort, and also for the two hosting schools in 1995, Rangitoto College and Pakuranga College. Book to include ADA bookplate. Cost of $40 per book.-Approved.

    Moots

    List of moots to be maintained and ordered by difficulty by Margaret Bright. ADA to record date of use.

    Association Image

    The letterhead paper (with outdated addresses) has been used. Appropriate time to consider developing a consistent image, logo and presentational appearance. Look at: Richard Bright Senior to be approached with a brief.

    Executive Membership

    Margaret Bright's resignation was received with regret and she was thanked for her work.

    Closing of Meeting

    There being no further business, Wayne McDougall thanked those present for their attendance, and declared the meeting closed at 8.30pm.
